What actually moves the price
Four things. Knowing them in advance means you can size the quote yourself before you speak to anyone.
Response volume
The number of completed responses you collect each month is the main driver, because it determines storage, processing and the AI analysis that runs over every comment. Send-outs that are never answered cost far less than responses that are.
As a rough guide, businesses tend to see somewhere between five and twenty per cent of requests answered, depending heavily on channel and timing. We will size this with you rather than guess.
Channels
Email costs nothing per message. SMS and WhatsApp do, because carriers and Meta charge per message and per conversation, and those rates vary by country.
Those costs are passed through at provider rates rather than marked up. If you only ever send email, they never appear on your invoice at all.
Setup and integration
A single QR code pointing at a three question form needs almost no setup. A multi-branch rollout with a POS extension, a custom webhook from an in-house system and a verified sending domain is a genuine piece of work.
Most businesses sit near the simple end. We will tell you honestly which end you are at before quoting anything.
Scale and sites
Number of locations, number of forms, number of team logins and the volume of integrations all affect the ongoing cost, mainly through support rather than infrastructure.
Agencies managing several client businesses are a distinct case and are quoted differently, so mention it if that is you.

How invoicing works
Invoices are generated inside your account rather than emailed from somewhere untraceable. Each one can be paid by card through Stripe, downloaded as a PDF for your accountant, and emailed to whoever handles your bookkeeping.
Everything is visible in the billing area: what has been issued, what has been paid, and what is outstanding. There is no separate portal to log into and no chasing anyone for a receipt.
Message costs for SMS and WhatsApp appear as a pass-through line rather than being folded into a headline figure, so you can always see what the platform costs and what the carriers cost.
What we will not do
Charge for responses you did not get. Volume is based on completed responses, not on requests fired into the void.
Mark up carrier costs. SMS and WhatsApp are passed through at provider rates.
Lock the data away. Your responses are yours, and you can take them with you.
Quote before understanding the setup. A number produced without knowing how you sell is a number that changes later, which helps nobody.
The things people ask before quoting
Why not publish fixed prices?
Because the honest number depends on things we cannot know from a web page. Two businesses with identical monthly turnover can differ tenfold in response volume, and one may need three integrations while the other needs a printed card. A published price would be either padded to cover the worst case or quietly caveated until it meant nothing. A ten minute conversation produces a figure that holds.
Is there a minimum contract?
Terms are agreed as part of the quote. Tell us what suits your business, including whether you would rather commit annually for a lower rate or stay flexible month to month, and we will price accordingly.
What happens if we exceed our response volume?
We talk to you rather than switching anything off. Collection continuing is more important than a billing line, so a busy month is handled and then reflected in the next quote if it becomes the new normal.
Do you charge for setup?
Basic setup, meaning your first form, a QR code and email send-outs, is part of getting you started. Larger pieces of work such as multi-branch rollouts, custom integrations or POS extension configuration are quoted separately so you can see exactly what you are paying for.
Can we start small and expand later?
That is the usual path, and it is the one we would recommend. Start with one form and one channel, prove that responses arrive and that someone reads them, then add SMS, integrations and additional sites once the habit exists. Buying the full setup before anyone has looked at a report is the most common way these projects stall.
What do SMS and WhatsApp actually cost?
It depends on the destination country and the provider. Both are billed per message or per conversation and passed through at cost. We will give you the rate for your market as part of the quote, along with a realistic estimate of monthly volume so the figure means something.
Who owns the feedback data?
You do. It is your customers' feedback about your business. We store and process it so the platform can do its job, and you can export it or ask for it to be deleted.
